This policy explains how we use the information about you to make decisions on your application, and what rights you have. What personal data do we collect?
When you apply for a role with Manchester United, we will ask you to provide various pieces of information to help us progress your application. This may include:
- Your name and contact details
- Your education and previous work history
- Your eligibility to drive and work in the UK
- Information about your health and other information required to provide reasonable adjustments.
During your application, you may be given the opportunity to complete a one way video interview, where you record your answers to questions. If you use this facility, we will hold the video recording with your application.
We may also collect data from other sources at appropriate points in the recruitment process, including recruitment agencies, criminal records checks from the Disclosure and Barring Service, and references from previous employers.
We use artificial intelligence tooling in our recruitment processes to help us to identify the right candidates for the opportunities we have available. These tools are used to review critical role criteria, such as where a role requires a driving licence, and to record and transcribe interviews but they do not make automated decisions about your application.
What if I fail to provide the personal data?
If you fail to provide information when requested during the recruitment process which is necessary for us to consider your application (such as evidence of qualifications, work experience or right to work information), we will not be able to process your application any further until this information is provided.
What is our lawful basis for processing?
We use your data to manage your application, to fulfil any requests for reasonable adjustments, to carry out background checks and to keep records relating to our hiring process. When doing this, we rely on the following lawful bases:
- Performance of a Contract: to enter into and then fulfil an employment contract with you.
- Legitimate Interests: to support own legitimate interests or those of a third party, such as in assessing your suitability for our vacancies.
- Compliance with Legal Obligations: to comply with our legal and regulatory obligations, including our legal duty to make reasonable adjustments for individuals with a disability.
- Substantial Public Interest for Special Category Data: where the law allows us to process special category data we will do so to ensure equality of opportunity or treatment, assess your health and any reasonable adjustments, and/or to prevent and detect unlawful acts.
Who do we share your personal data with and for what purpose?
We do not share your information unless we need to in order to support the application process. This may include:
- Recruitment agencies or consultants, where they are involved in your application already;
- Current and former employers, when we ask them to provide a reference;
- Background check providers, including the Disclosure and Barring Service, where needed for the role you have applied for;
- With services which support our recruitment processes, including our platform provider.
Whenever we disclose your personal data to any third parties, we will take steps to ensure that your information is protected.
Security of information
Manchester United has put in place appropriate security measures to protect the personal data that we collect and process as part of the recruitment process and we limit access to a need-to-know basis only.
Where a password is required to access our careers page, you are responsible for keeping your password secure and confidential. Please do not share or disclose your password to any other person.
How long do we retain your personal data?
We will securely retain your information for as long as is reasonably necessary to fulfil the job vacancy you have applied for, which is usually two years after your application. At the end of that retention period, your data will either be deleted completely or anonymised.
You will have the opportunity to hold your data on our recruitment platform so that we can let you know about future vacancies. If you select this option, your data will be held for longer than our standard retention period to allow you to make applications for other roles.
Do we transfer your personal data to other countries?
The personal data that we collect about you may be transferred to, and stored at, a destination outside the United Kingdom, for example our careers page provider. Whenever we transfer your personal data outside of the UK, we make sure that the legally required protection is afforded to it.
What are your rights in respect of the processing of your personal data?
You have the following rights in relation to your personal data:
- Access: You have the right to ask us for copies of your personal data.
- Rectification: You have the right to ask us to rectify personal data you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
- Erasure: You have the right to ask us to erase your personal data in certain circumstances.
- Restriction of processing: You have the right to ask us to restrict the processing of your personal data in certain circumstances.
- Object to processing: You have the right to object to the processing of your personal data in certain circumstances.
- Data portability: You have the right to ask that we transfer the personal data you gave us to another organisation, or to you, in certain circumstances.
Where we are relying on consent to process your personal data, you are able to withdraw your consent at any time. You can do this by changing your preference to be considered for similar roles in your account on our careers page.
